M&E Coordinator - 10 months

SCOPE OF THE JOB: 

Under the general guidance and supervision of the M&E Manager, manages the delivery of conferences and meetings during a period of 10 months. He/She promotes the desired work culture around the brand ethos. 

KEY RELATIONSHIPS: 

Maximize, Maintain and develop contacts with business generators, meeting and conference planners, visitors/Conference Bureau, travel agents, tour operators, airlines, corporate accounts.
Coordinates in liaison with the Food and Beverage Management team and the Kitchen & Stewarding Manager.

KEY RESPONSIBILITIES:

- Ensure contracts are completed and revised

- Follow the standards and procedures of the department, for instance, ensuring that business has been signed prior to commence planning 

- Ensure that the rooming list are inserted in due time for operations.

- Co-ordinate the allocation of space for the conference and associated events under the supervision of the M&E Manager

- Liaise with the Reservation Department for room availability and room preferences

- Make sure that the balance of room type is done to avoid overbooking.

- Liaise with the following departments in procurement of the business:
 Sales Team
 M&E Operations
 Front Office
 F&B departments


- Conduct room familiarizations and site inspections

- Oversee the preparation, presentation and service of banquet Food and Beverage products to ensure highest quality at all times

- Coordinate with the Purchasing for special purchasing relating to the Banqueting Department

- Maintain a record system to include the following:
 Files on all previous functions
 Banquet and reservation book
 Customer contact file 
 Menu file
 Activities file
 Solicits and follows-up on business referrals and potential sales leads

Guest Service

- Demonstrate service attributes in accordance with industry expectations and company standards including:
 Being attentive to Guests 
 Accurately and promptly fulfilling Guests requests
 Anticipate Guests needs
 Maintain a high level of knowledge which affects the Guest experience
 Demonstrating a ‘service’ attitude 
 Taking appropriate action to resolve guest complaints

- Appreciate the dynamic nature of the Hotel and extend these service attributes to all internal customers

Financial Responsibilities 

- Control of invoices for completeness and ensure that folder with contract and invoicing details are well prepared and given to the accounting department.
- Control that postings are correct on a daily basis.

Business Planning

- Contribute to the overall strategic plan of the business and help compile the annual hotel business plan

- Comply with the Hotel’s Code of Conduct

- Familiarize with the Hotel’s values and model desired behaviors

- Perform tasks as directed by the Manager in pursuit of the achievement of business goals

Travaille en collaboration avec la cuisine

OBJECTIF :

Vendre et servir les mets et boissons : mise en place, servir, débarrasser et préparer l’addition
Contribuer à rendre le repas / séjour du client unique et inoubliable
Travailler en étroite collaboration avec ses collègues

TACHES PRINCIPALES :

Avant le service

- Ouvre la salle des petits déjeuners : dresse les buffets et finit la préparation de la salle de la veille
- Prend la responsabilité de sa caisse
- Mise en place de la salle : nettoie le matériel de salle et le mobilier, dispose les tables et les chaises, le linge de table, les couverts, la vaisselle, décore la table et la salle…
- Mise en place du matériel de service
- Mise en place du buffet : remplit les frigos de boissons et nourriture, réapprovisionne le buffet
- Prend note et organise les réservations

Pendant le service

- Accueille les clients, conseille en matière de menu et boissons, donne les explications relatives à la composition ou au mode de préparation des mets, prend note des commandes (note les souhaits spéciaux) et transmet à la cuisine
- Prépare les boissons et les sert (débouche, sert), adapte les couverts aux mets choisis
- Suivant le déroulement du service, donne des instructions au personnel de cuisine
- Va chercher les boissons et repas, sert les clients
- Débarrasse la table
- Prépare l’addition et encaisse (contrôle les moyens de paiement)
- Est attentif aux besoins des clients et s’occupe des réclamations

Après le service

- S’assure de laisser son poste de travail propre, veille au respect des normes HACCP
- S’occupe de la mise en place du prochain service et ferme le restaurant
- Compte sa caisse et rapporte le cash au Front Office ou Comptabilité

 

Profil recherché :

- Français et Anglais requis
- Esprit d’équipe et compétences en relations interpersonnelles.
- Doit être ponctuel et tourné vers le détail.
- Enthousiasme pour le marché hôtelier.
- Proactif.
- Dynamique.
- Sens du service client
- Résistance au stress

  • Contrat temps partiel : 6 mois
  • Horaire : 20h (5 jours/ semaine, 4 heures/jour)
